You may pay in full at the time of booking. If you decide to pay in installments a non-refundable deposit of £1000 per person is required to secure your booking. Until we have received your payment or the deposit we cannot confirm your booking. Your booking is not secured until you have received written confirmation from us confirming receipt of payment.

You may pay in full at the time of booking, alternatively you can pay a deposit and the balance can be paid anytime up to 45 days prior to arrival. The balance can be split into a maximum of two payments, the deposit and then the remainder of the balance. If you are paying a deposit then we must receive the full balance at least 45 days before your arrival. The client is required to pay promptly. Bodhimaya Ltd reserves the right to cancel your booking if payment has not been received in full 45 days prior to arrival. Bookings made 45 days prior to arrival or less, must be paid for in full at the time of booking.

You can pay in GB Pounds, Euros, US dollars & Australian dollars, other currencies may be accepted. You can pay by cheque, bank transfer or debit/credit card. Credit card payments are charged an additonal 1.5% fee. Our preferred method of payment bank transfer


Cancellation policy
If you decide to cancel your booking with Bodhimaya Ltd the following refund policy applies:
The deposit is non refundable.
Bodhimaya do not offer refunds but at our discretion we may put the balance paid towards another retreat package, consultation or service provided by Bodhimaya Ltd.


Travel Insurance
As a condition of booking with Bodhimaya you must take out your own travel insurance. You must get travel insurance that covers lost luggage, medical costs and cancellation. Many insurance companies include cancellation cover to protect your booking, but please check your insurance covers cancellation. Bodhimaya Ltd do not accept any liability for cancellations, delays or changes caused by war, threat of war, terrorist actions or threats, closure of airports, civil strife, industrial action, natural disaster, technical problems to transport, staff cancellations, a venue making changes to or cancelling Bodhimaya Ltd’s booking, unforeseen changes in your personal circumstances or other events beyond our control. It is your responsibility to ensure that you have adequate travel and cancellation insurance.


The Retreat
Bodhimaya Ltd reserves the right to change the content of the retreat without notice. Whilst it is unlikely that we shall have to cancel a retreat, in the event we do, Bodhimaya Ltd will inform you as soon as possible and any payment made will transferred to another retreat package at a later date or we will give you credit towards another Bodhimaya service. We do not offer refunds on cancellations due to any reason outside of our control. Bodhimaya is not responsible for any consequential expenses or damages incurred as a result of any cancellation, including, but not limited to costs spent in preparation, no-refundable or penalty-carrying airline tickets, special clothing, visa and passport fees, lost income and any other related losses or expenses.

If you arrive late or leave before the end of the retreat you are not entitled to a refund or any kind of exchange.

Bodhimaya is not responsible for the loss or damage to any of your belongings while on a retreat or while you are traveling to or from a Bodhimaya retreat. Bodhimaya is not responsible for any problems you encounter while you are traveling to and from the retreat venue, including problem with flights, immigration or any other matter. It is your responsibility to ensure you have the correct visas, travel documentation and that you are legally able to enter the country where the retreat is taking place. All flights and flying arrangements are your responsibility. Transfers to and from the airport are organised through a local taxi company. Bodhimaya accepts no responsibility for you being delayed, late for your flight, injured during your travel to or from the airport or for any other difficulty or issue that may arise during your journey to and from the airport.

Any breakages or damage to any fixtures or fittings on the chateau premises will be charged to the client with immediate effect. This include damages found after check out.


Pre-existing medical conditions and medical concerns
The retreat is undertaken at your own risk. Bodhimaya Ltd are not liable for any medical or psychiatric conditions which may develop during or subsequent to the retreat.

You must make Bodhimaya Ltd aware at the time of booking any pre-existing medical conditions, treatments, surgeries that you have had, allergies and intolerances as it may not be possible for you to undertake all of the treatments included in your chosen package due to contra-indications. Failure to notify Bodhimaya Ltd of any pre-existing medical conditions, treatments, surgeries that you have had, allergies and intolerances in your pre-retreat questionnaire may result in you not being able to undertake any treatment or treatments that may have possible contra-indications. There is no guarantee alternative treatments will be offered and no refunds will be given. Bodhimaya cannot not be held responsible for any health issues that arise from possible contra-indications In some circumstances and if the management or therapists feel it is necessary we may require a letter from your GP/Specialist stating that they are happy for you to go ahead retreat involving a detox phase. If you are taking medication of any kind or have any reservations about your health and your ability to undertake a rejuvenation, detoxification, yoga, fitness and meditation programme then we strongly advise that you consult your doctor before booking.

Bodhimaya Ltd, its employees, contractors, successors, and assigns do not claim to diagnose, treat or cure any medical condition. Bodhimaya Ltd retreats are designed to support optimal health. You are advised to consult a doctor or healthcare practitioner if you have a medical condition or have any health concern. We will not accept pregnant women on any detox programme but we can make adjustments to the programme if provided with written notice 7 days before arrival.

By continuing with the booking process you agree to free and indemnify Bodhimaya Ltd, its employees, contractors, successors, and assigns from any liability including but not limited to claims, costs and legal fees that result from any medical issue that arises or worsens prior to, during or after your stay.


Inappropriate behaviour and Conduct
Any client that is found to be:--
Smoking anywhere within the building, (you may smoke outside)
Taking or smoking illegal substances.
Actively ignoring safety/health guidelines.
Abusing or misusing the retreat venue, other peoples belongings, the property of Bodhimaya or its employees.
Physically or emotionally abusive or violent to staff or other retreat participants
Disrespectful to staff or other retreat participants

Will be asked to leave with immediate effect and no refund will be given.


Functional and Genetic Testing
Functional and genetic testing must be received by the lab well in advance of your stay. Your completed functional testing samples must arrive at the lab four weeks prior to your arrival. Your genetic testing sample must arrive at the lab eight weeks prior to your arrival.

Please do not be concerned if your results are not back in time for us to use the results to tailor your retreat programme; while functional and genetic testing can be used to tailor your retreat, they are most useful when we are tailoring your long-term wellbeing programme. You results will be given to you as soon as the results arrive, if this is after the retreat we will organise a phone or Skype consultations to explain the results or you can come into the Bodhimaya Harley Street Clinic for an appointment.

We offer no refunds on functional and genetic testing once payment has been made. Refunds will not be given if the results do not arrive in the time frame they are expected to, if the results do not meet your expectations, if you decide that you no longer want the test or the results or any other reason.

Once you have completed a test and the sample has been sent to the lab for analysis there can be issues outside of our control that mean you may have to send another sample. These can include, but are not limited to: breakages, spoiling of the sample, insufficient DNA in the sample to collect your raw genetic data or the postal service or lab losing the sample. We will send or arrange for another sample to be taken as ask the lab to fast track your results. We do not give refunds due to lost, damaged or insufficient samples.
